Terms and Conditions (updated 27.07.20)
Due to the current situation caused by COVID-19, we may have to deviate from the services we normally provide. Examples of services that may be affected are: limited day visitors, the inclusion of Essential Hampers and Additional Extras to your package.
These general Terms and Conditions apply to all offers, reservations and agreements regarding the rental of all accommodations, which are rented by Oddhouse Farm.
In these general Terms and Conditions, the term ‘Tenant’ means: the person who enters into an agreement with Oddhouse Farm with respect to the lease / use of accommodation. The term ‘User’ (also referred to as guest) also means: the tenant and the persons specified by the tenant who (will) make use of the accommodation rented by the Tenant.
Oddhouse Farm only accept bookings for persons over 18 years of age. We reserve the right, at all times and without statement of reasons to refuse a booking.
Oddhouse Farm will confirm and invoice the booking to you by email within 1 working day of receipt. The confirmation, including the invoice, must be checked for correctness immediately after receipt. Possible or alleged inaccuracies must always be made known by telephone or email within 10 days after the date of the confirmation / invoice or in any case before the start of the stay. If you do not receive a written confirmation or invoice within working day after booking, you must contact Oddhouse Farm. A contract will only arise when your booking is subsequently confirmed in writing via this emailed letter of confirmation.
If, due to unforeseen circumstances, Oddhouse Farm must make a change to a booked reservation regarding location or the type and / or location of the accommodation Oddhouse Farm can offer you a suitable alternative. Bookings made before 1 September with an arrival date in the following calendar year can be cancelled by Oddhouse Farm before 31 August if there is reason to do so, due to new developments since the date of booking. If necessary, Oddhouse Farm will provide you with alternative locations for the chosen date, offer you alternative dates or refund your deposit in full.
The prices featured on the www.oddhousefarm.co.uk and www.oddhousefarmglamping.co.uk are not binding. Oddhouse Farm reserve the right to modify these prices. Oddhouse Farm reserve the right to refuse bookings when they are made under evidently incorrect sales prices. The User must then rebook so that he/she can be informed of the correct costing. The price stated on the confirmation invoice is binding. All prices are inclusive of VAT, if applicable, unless stated otherwise. Oddhouse Farm has the right to increase prices because of interim adjustments to statutory regulations or provisions (including, but not limited to, VAT, tourist tax, insurance tax) over which Oddhouse Farm have no influence. Rental prices do not include tourist taxes and levies.
3 Accommodation rental
The rental price of each accommodation includes:
Rental of Tent (s) / The Hen House, water consumption, wood for woodburning stove / campfire (1 basket of logs and kindling), VAT, bed linen and towels, kitchen linen, final cleaning
Electricity is not included with Oddhouse Farm Glamping, there are no sockets in the bell tent accommodation. It is possible to recharge your equipment in the communal kitchen. Disposal of waste in garbage bags and containers, tourist taxes and levies, day visitors, outside suppliers.
Booking payments must be paid in two instalments. The down payment must be made within 48 hours after the date of the invoice. The remainder of the booking amount must be in the possession of Oddhouse Farm no later than 10 weeks prior to the start of the stay. When booking within 10 weeks before the start of the stay, the entire booking amount must be paid at once.
In the event of late or incomplete payment of the invoiced amounts, you will be in default. Oddhouse Farm will send you a reminder to pay. If Oddhouse Farm is not in possession of the amount within 14 days after the date of the reminder, Oddhouse Farm has the right to unilaterally dissolve the agreement by writing to the guest. You are liable for all damage Oddhouse Farm suffers or will suffer as a result, including all costs incurred by Oddhouse Farm in connection with your booking and the dissolution. In any case you will owe a cancellation fee of 30% of the booking amount in the event of cancellation more than 10 weeks before the planned date of commencement of the stay and equal to the total booking amount in event of cancellation within 10 weeks before the start of the stay. Any money already paid will be set off against the cancellation fee to be paid and any compensation due for other damages. If no payment has been made yet, the above amounts will be charged.
Payment is via BACs or cheque.
**We recommend that you take out travel insurance against the risk of accidents and cancellation.
5 Security Bond
Upon payment of the remaining booking amount, payment of an additional Security Bond is also required. The Security Bond is to cover damage to premises and equipment, breakages, missing items, theft and additional cleaning costs due to premises being left in a poor unclean state. This bond is refundable within 14 days of your departure.
6 Alteration costs
In principle, changes within 4 weeks before arrival are not allowed. Changes can only be made by the main booker. If, after making the booking, you wish to make changes to the booking, Oddhouse Farm is not obliged to do so. Oddhouse Farm is free to choose whether, and to what extent, these changes will be accepted.
7 Transfer of rights
The tenant and other users are not permitted to leave the accommodation under any name whatsoever and for any reason whatsoever to persons other than those mentioned in the agreement, unless Oddhouse Farm has agreed to this. If you have agreed with Oddhouse Farm that one or more users will be replaced you remain jointly and severally liable to Oddhouse Farm, in addition to the tenant and / or users who replace you and / or other users, for the payment of the part of the rent still due, the amendment costs and any additional costs resulting from the replacement and any cancellation costs.
Cancellations must be made by the main booker.
In the event of cancellation more than 10 weeks before the start of the stay, 30% of the rental amount is due with a minimum of £150.
In the case of cancellation within 10 weeks before the start of the stay, the full rental amount is due.
In the event of premature termination of the stay, the full booking amount is due.
At Oddhouse Farm there is no statutory cooling-off period of 14 days.
**We recommend that you take out cancellation insurance on your trip.
9 Arrival and Departure
Upon arrival, all guests are required to identify themselves at check-in. If guests are unable to show proof of identity, Oddhouse Farm may decide not to accommodate the guests. You are allowed access to your accommodation from 4pm. Please ensure your arrival is before 8pm. After checking in, you are responsible to familiarise yourself with the indicated safety instructions.
If something is not to your liking upon your arrival or missing, please contact us immediately so that we can come to an appropriate solution.
On the day of departure, you must leave your accommodation before 10.30am. This is in connection with the cleaning of the accommodation. If this is not the case Oddhouse Farm may charge an additional £30.
Exception: this does not apply to bookings which have chosen the ‘Late Check-out’ Additional Extra. In this case, you must leave the accommodation before 1pm.
Accommodation must be left clean and tidy with all washing up done and put away. Rubbish must be placed in the relevant bins provided. Refuse bags should be used for anything which is not Recyclable. A charge of £50 may be charged for disposal of excessive rubbish or rubbish not placed in the relevant bins.
10 Domestic Regulations
One of the beautiful things about Oddhouse Farm, is its peaceful location and tranquil surroundings. To add to that is the wonderful wildlife. This is only possible if it is respected by our guests. Oddhouse Farm is also our home, so we ask you to please respect our rules and remember the key attractions / points which made you want to book with Oddhouse Farm in the first place.
In order to make the stay at Oddhouse Farm as pleasant as possible for all guests, all guests must adhere to the established behavioural rules below:
Oddhouse Farm requests that all guests respect the privacy and quiet time of other guests and residents.
No smoking is permitted
Loud music is not permitted at any time during your stay
No pets or dogs are accepted
Violation of these rules may result in removal from the site, without restitution of all or part of the rent. If the accommodation is not left clean upon departure, Oddhouse Farm may charge £50 for cleaning costs. Oddhouse Farm reserves the right to make changes to the set-up and opening hours of the facilities on site. If Oddhouse Farm suspects that the renter of an accommodation is acting in violation of the law and / or public order and / or good morals, or has left the accommodation prematurely, he / she is authorised to gain access to the accommodation.
We would also like to draw your attention that it is possible that maintenance work may be carried out on the grounds or to the accommodation(s) during your stay, without you being entitled to any compensation. There may well also be other guests in attendance or celebratory events in operation at the same time as your stay in other areas of the site.
11 Force majeure
In the event due to force majeure and Oddhouse Farm is temporarily or permanently unable to fulfil all or part of the agreement, Oddhouse Farm may, within 14 days of becoming aware of the impossibility of fulfilling the agreement, submit a changed proposal (for other accommodation / another period, etc.) Oddhouse Farm may suspend the fulfilment of it’s obligations in the event of force majeure or in the event of circumstances beyond the control of Oddhouse Farm. In the event of force majeure, Oddhouse Farm will not be obliged to compensate any damage or costs, or to refund the rental price. Force majeure on the part of Oddhouse Farm exists if the performance of the agreement is wholly or partly, temporarily or otherwise, prevented by circumstances beyond the control of Oddhouse Farm, including the threat of war, personal trikes, blockades, fire, floods, extreme weather conditions, epidemics, pandemics, quarantines and other disruptions or events.
The use of the accommodation at Oddhouse Farm and the facilities are at the own risk of the tenant and users.
Oddhouse Farm accept no liability for:
Theft, loss or damage of any kind during a stay
The deactivation or disabling of technical equipment and the breakdown or closure of facilities on site.
Relating to Covid-19 or similar, more specifically, everyone bears his own responsibility and any consequences that Covid-19 or similar may have for the tenant / users or the booking are on his own account.
The tenant and those accompanying him or her are jointly and severally liable for all loss and / or damage caused to Oddhouse Farm and / or any third party as a direct or indirect consequence of their stay, regardless of whether this was caused by acts or omissions of themselves or of third parties who are on the site through their actions as well as for all damage caused by any animal and / or property in their possession. The tenant indemnifies Oddhouse Farm against all claims from third parties regarding damage resulting from any acts or omissions of the tenant, other users, their travelling companions or third parties who are on site with your permission. Additional (cleaning) costs may be charged in the event of incorrect use or incorrect leaving of the accommodation.
Despite all the concerns of Oddhouse Farm, it may happen that you have a justified complaint. You should take up this complaint on the spot and directly with us in order to give us the opportunity to resolve it immediately. If the complaint is not dealt with satisfactorily, the main booker can submit the complaint in writing at the latest 14 days after departure.
14 Day Visitors
Day visitors are welcome subject to availability, but not more than 1 extra car please. There is a charge of £20.00 per person, per day and between the hours of 10am and 10pm. We must be notified of these guests in advance and the Booker must report these visitors to Oddhouse Farm upon their arrival.
